MatterChat is a secure messaging and collaboration platform for law firms, operated by OmnisAI ("we", "us"). This policy describes what we collect, how we use it, and the choices you have. It applies to matterchat.com, the MatterChat apps, the cross-firm network, and Omnis Boards.
Information we collect
Account and firm information you provide (name, work email, phone, firm name and size, bar number, practice areas, states of licensure); the content of messages, files, and board items you create or upload in the course of using the platform; cross-firm activity (verified connections, rooms you join, invitations you send or accept); and standard technical data (log, device, and usage information).
Protected health information
Messages, files, and matter records handled on the platform may contain protected health information (PHI) or other confidential client information. We handle this content under HIPAA-appropriate safeguards, store it encrypted, restrict access to personnel who need it to operate and support the service, and never use it for marketing.
How we use information
To deliver, secure, and support the messaging and collaboration services you use; to operate the cross-firm network (including verifying identities and connecting counterparties you choose to message); to communicate service updates; to send product and marketing email you can opt out of at any time; and to meet legal obligations.
Message content & confidentiality
Your messages, files, and board content belong to your firm. We process them to provide the service (delivery, search, backup, and the features you enable) and do not sell them, use them to train models without your instruction, or disclose them except as directed by your firm's administrators or as required by law. Cross-firm conversations are visible only to the verified participants of each room.
Sharing
We do not sell personal information. We share information with service providers who process it for us (hosting, email delivery, payments), with counterparties you choose to connect or message with on the cross-firm network, and where required by law.
Retention & security
We retain information for as long as your account is active or as needed to provide services and meet legal requirements, including any legal-hold or retention settings your firm configures. Data is encrypted in transit and at rest; access is role-restricted and audited.
Your choices
You can access and update account information in the app, unsubscribe from marketing email via the link in any message, manage your cross-firm connections, or request deletion of your account by contacting us. Firm administrators control workspace-level data and retention.
